What Youll Be Accountable For:

  • Contribute to the daily experience of the office site for employees and visitors. Provide standout service to embolden our goal of providing a WOW-worthy setting at every Ruby site.
  • Own the lobby experience, ensure someone is always present to warmly greet guests.
  • Provide concierge support answering questions, taking requests for office experience/facilities queue, and consulting on appropriate WOW gifts.
  • Execute on cultural programs including campaigns, events, Rubyversary gifts, and workplace tours.
  • Provide meeting support for all onsite meetings and occasional training or events; this includes managing site meeting room and conference room calendars, setting up refreshments, ensuring the room displays Rubys clean brand aesthetic and is prepared with the right tools, ready for use.
  • Publicize and communicate site-specific announcements through multiple mediums including group email announcements and SharePoint updates, at the direction of the internal communication team. Maintain the site bulletin boards, site event calendars, and other physical communication spaces.
  • Run the mid-week munchies program and other workplace food and beverage offerings; innovate new perks for team members.
  • Maintain the clean, tidy Ruby brand aesthetic throughout the work space; particularly in the break room, business center, and bathrooms. Regularly stock supplies.
  • Provide backup support to Office Experience team members and Receptionists, as needed.
  • Manage shipping, receiving, and mail distribution to/from the office site.

  • Your endearing quirks include the fact that you cringe at microwave splatter, always use a coaster, and obsessively ensure the labels in your cupboards are faced forward. Bonus points if you also alphabetize them.

Your Background:

  • A minimum of 6 months with Ruby and a shining example of delivering on the full scope of the Ruby Service Pyramid.
  • You clearly and distinctly embody Rubys Core Values as demonstrated through your tenure.
  • Excellent reliability and record of responsible attendance.
  • Excellent verbal and written communication skills in a variety of mediums.
  • Proficient in a variety of MS Office applications, and solid computer skills.
  • Some meeting, event, or program management experience, preferred.

Work Environment:

Work takes place in an office setting. This is a coverage position that requires the ability to work a predictable and consistent full-time schedule. It requires the ability to sit and work at a computer for extended periods of time and communicate effectively with a diverse audience in person, by phone and by computer. This position requires the ability to lift, push, and carry up to 50lbs, including some furniture moves. This position will occasionally travel between office sites to support events, initiatives, or provide backup.
